Very few people think about where the nearest electrical outlet is or if there's space for a bar and back bar where drinks will be served or whether the service area is 20 feet from the loading dock… or 400.
But those behind the scenes details can make a huge difference in how smoothly your event goes off.
At Liquid Caterers, we've worked events EVERYWHERE: luxury resorts, golf clubs, private homes, mountaintop venues, warehouses, museums, and desert ranches...you think it, we've served in it in Arizona. Every venue has its own personality and every one comes with unique logistical challenges. That's why venue walkthroughs, or at the very least, detailed communication about the space, are such an important part of planning.
One of the things we love most about Arizona is the variety of event venues available.
You can host a black tie gala at a Scottsdale resort one night and a corporate celebration at the Desert Botanical Garden the next. A wedding at a mountain venue has completely different logistics than a networking event in downtown Phoenix or a holiday party in a private backyard.
The beverage experience may look effortless to guests, but making it feel that way starts long before the first drink is served.
A venue walkthrough isn't about admiring the space (completely. It's about solving problems before they appear.

The answers help us determine everything from staff needed to setup timing, equipment selection, and even how much product we can comfortably store during service.
Not every event allows for an in-person walkthrough, and that's perfectly okay.
What matters most is communication.
The more your vendors know about the venue ahead of time, the better prepared they'll be on event day.

Planning an outdoor event in Arizona means thinking beyond the forecast.
Summer heat, afternoon monsoons, and even winter evenings can affect beverage service.
Extreme temperatures change how much ice we bring, how ingredients are stored, how equipment is protected, and how quickly beverages need to be replenished.
A walkthrough, or simply knowing the event conditions ahead of time, allows us to make those adjustments.
Guests don't really notice great logistics.
But...they notice when something feels off.
Long lines. Delayed service.Equipment being moved during the event. Running out of ice. Bars that aren't ready when cocktail hour begins.
The goal is for none of those things to happen.
When we've had the opportunity to understand the venue beforehand, we can spend our energy creating an exceptional guest experience instead of reacting to unexpected obstacles.
One of the biggest misconceptions about beverage service is that we simply arrive with supplies and start serving.
In reality, every successful event is built on preparation.
The walkthrough may only take 20 or 30 minutes, but it often saves hours of stress on event day. It gives everyone confidence that the plan works before guests ever walk through the doors.
If an in-person walkthrough isn't possible, don't worry. Just keep your bar team informed. Share photos if you have them and send a venue map. Let us know about access, power, parking, and anything unusual about the space.
The more we know ahead of time, the more seamless your event will feel.
And honestly, that's our favorite kind of event.
The one where guests remember the experience… and never have to think about everything that happened behind the scenes to make it possible.
