A mobile espresso bar for a 50-person bridal shower is a very different experience from an espresso and activations serving hundreds (or even thousands) of conference attendees. The equipment, staffing, ingredients, service time, menu and level of customization all affect the final price.

Nobody wants to spend half the event standing in a coffee line...no matter how good the latte is (and it's really good...trust us). For larger groups, we may recommend additional staff, equipment or service stations to keep drinks moving and guests happy.
Not all mobile coffee bars are the same.
A traditional coffee bar may focus on drip coffee, tea, house-made syrups and fun flavor options. It is cozy, approachable and designed for fast service.
A full espresso station is a more customized experience. Drinks are prepared individually by a barista and may include lattes, cappuccinos, americanos and other espresso-based favorites. Guests can personalize their drinks, watch them being made and enjoy that freshly crafted coffee-shop experience without leaving the event.
Espresso service requires specialized equipment, trained baristas and more hands-on preparation, so it is priced differently from a traditional coffee setup.
You can also expand the menu beyond coffee. Chai, matcha, hot cocoa, cold brew, specialty teas and other non-coffee choices can make the experience more inclusive and give every guest something worth ordering.
Coffee drinkers are passionate...but the non-coffee crowd deserves a fun drink too.
A two-hour morning meeting and an all-day conference will require very different levels of service.
The length of your event affects staffing hours, product quantities, setup needs and the number of drinks we expect to prepare. Your quote may also account for when the coffee bar will be busiest.
For example, a conference may have a major rush as attendees arrive, another during the midmorning break and one more after lunch. A wedding coffee bar might open with dessert and stay active through the reception.

Staffing is based on the size of the event, the complexity of the drinks and how quickly guests need to move through the line. Handcrafted espresso drinks naturally take longer than pouring drip coffee, especially when guests are selecting flavors, milk options and toppings.
For a smaller event, one station and a streamlined team may be perfect. Larger events may require additional baristas, multiple machines or more than one service point.
Additional questions we ask. Where will the bar be placed? Will everyone arrive at once? Are there scheduled breaks? Is the coffee bar meant to serve the entire room quickly, or is it an activation guests will visit throughout the day?
