How to Prepare for a Bartender-Only Event

A simple guide to a seamless bar experience

Hiring a bartender-only service is a popular choice—and for good reason. It gives hosts flexibility, keeps costs down, and allows you to personalize the bar to your crowd.

But unlike a full bar package, a bartender-only event means you’re supplying the alcohol and materials…and that’s where things can either feel effortless or completely overwhelming.

From the bartender’s perspective, walking into a bartender-only event can be one of two extremes:

  • A mountain of bottles, mixers, and random extras that slows everything down
  • Or missing key essentials that bring service to a halt

The goal of this guide is simple: help you plan just enough so your event flows smoothly, your guests are happy, and your bartender can do what they do best.

Start With the Right Mindset: Less Is More

It’s tempting to offer everything—but more options don’t actually create a better guest experience. Too many spirits, mixers, or signature drinks can overwhelm guests and bottleneck the bar.

When alcohol is complimentary, guests are usually more than happy with classic, familiar options.

Stick to Core Spirits

These five cover the vast majority of guest preferences:

  • Vodka
  • Gin
  • Tequila
  • Rum
  • Bourbon

Keep Mixers Classic & Crowd-Friendly

The most commonly used mixers are:

  • Club soda
  • Coke
  • Diet Coke
  • Sprite
  • Tonic
  • Orange juice
  • Cranberry juice

You don’t need ten juices or niche sodas unless they’re intentional for your group.

Wine & Beer: Simple Wins Again

Wine

  • 1 red + 1 white = totally fine
  • 2 of each = still reasonable

Beer

  • 2–3 selections is ideal
  • Typically, a light beer, a lager/IPA, and one wildcard

Anything beyond that adds complexity without much payoff.

Alcohol Quantities Matter (A Lot)

Getting quantities right is key. You don’t want to run out…but you also don’t want to unload cases just to load them back up at the end of the night.

  • 750ml bottles are ideal for ease and pacing
  • Costco-size bottles are totally okay—just be mindful of counts
  • If you need help estimating quantities, reach out to us. This is one of the most common places people over- or under-buy.

Customizations Are Great—When They’re Intentional

Want Old Fashioneds? Great—just add:

  • Simple syrup
  • Orange peels
  • Cherries

Uncle Joe must have Dr. Pepper? Sure.
Kids want grenadine? No problem.

The key is minimal and purposeful additions tailored to your guest list—not a free-for-all.

Signature Drinks: Keep It Clear & Countable

  • 1–2 signature drinks is the sweet spot
  • Choose drinks that share ingredients when possible
  • Don’t forget signage so guests know what to order

Clear menus = faster service and happier guests.

Water Is Not Optional

Make sure water is available:

  • At the bar or
  • In a separate dispenser for guests

This helps pacing, comfort, and overall guest experience.

Ice: The Most Overlooked Essential

Ice is almost always under-provided.  

Things to consider:

  • How much ice your group needs (we recommend 1.5 lbs per guest)
  • Where it will be stored (coolers or a venue freezer)
  • A bucket to scoop from (venue-provided or supplied by you)

No ice = no drinks. Period.

Bar & Setup

  • Bar or serving surface
  • Linens (if needed)

Cups

  • 9 oz cups for wine
  • 10 oz cups for mixed drinks

Larger cups are not ideal. They lead to heavier pours, faster supply depletion, and potential over-serving.

Bar Essentials

  • Napkins
  • Wine Tin for keeping wine cool
  • Straws
  • Lemons & limes for garnish

Your bartender will bring all necessary bar tools, including:

  • Shaker tins
  • Pour spouts
  • Stir spoon
  • Bottle openers
  • Knife & cutting board
